Introduction

The team at Algebäck recognized the need for a user-friendly management system in the construction industry. The perception of this gap in the market, coupled with experts passionate about their work, resulted in the unique, efficient, and easy-to-use digital tool named CAPA, which now boasts a wide variety of clients across industries.

Organically integrating the ISO certification process and aligning with quality standards was one of the goals that Algebäck had in mind when designing CAPA.

CAPA was created to simplify quality work and operational management in industries where compliance is business-critical. In close collaboration with us at Litebreeze, they have now realized their vision in the first form of a scalable digital platform.

Deviation reporting

Tracks issues, costs, and categories for better analysis, allowing for better tracking and reporting of workplace deviations. Ensures ISO compliance, quality control, and detailed reporting aligned with industry standards.

Leave application

Streamlines leave requests and updates, ensuring employees get quick responses. Facilitates better workforce planning, documentation, and HR process automation.

Competency management

Tracks employee training and certifications with expiry reminders, thus avoiding out-of-date authorizations and ensuring compliance. The customer benefits from having a project-ready, certified workforce at all times.

Digital forms

Ensures ease of creating, collecting, and sharing data both internally and externally, thus saving time and improving feedback collection. Improves decision-making through real-time data collection.

Vacation calendar with week numbers

Visual leave tracking and weekly planning to easily check vacation schedules and avoid overlaps. Ensures much better resource and team management across projects.

Key developments

Litebreeze improved both the business processes and technical aspects of CAPA in the following ways:

1. Improved the system by suggesting changes in the vacation request workflow, deviation reporting, and form submission.

2. Added automated email notifications for news, vacation requests, forms, and deviations to keep users informed.

3. Implemented a new vacation calendar feature for better leave tracking and scheduling efficiency.

4. Fixed existing bugs in the system, ensuring smoother operations and improved user experience.

Technologies used

PHP 8: A custom framework based on PHP 8 is being used and is being leveraged extensively for backend development of the quality management software.

JavaScript: Used for frontend development, with packages like fullcalendar.js managing the vacation calendar for easy leave tracking and scheduling. Similar JavaScript packages are also used for other interactive features.

Kubernetes: Used for deployment and hosting. Enables smooth scaling and management of the application.

mPDF: Used for automated document creation and PDF export. Allows users to generate downloadable records for compliance.

Sentry: Integrated for error and performance monitoring. Helps in bug detection, issue tracking, and performance optimization.

New knowledge

Working with a custom PHP-based framework required the developers to study and understand its architecture. The project also helped the developers better understand how to use Kubernetes for automated deployments, and isolated testing environments.

The knowledge gained could be applied in future projects to set up efficient QA environments using similar deployment architectures, which would improve the overall testing and deployment process.

Challenges ahead

Algebäck Group’s investment in CAPA is part of their long-term strategy to establish a leading SaaS platform within quality and process management. The current plan is to scale the application as a SaaS platform. Here, the main challenge would be updating the database and code to support multiple companies securely and efficiently, while maintaining performance. Together we continue to develop new features that enhance customer value and competitiveness.

Next priorities

Bulk upload: Allow admin to add customers by uploading an Excel sheet, streamlining user onboarding for enterprises.

Customer invite link: Enable invitation of customers via unique, secure registration links.

AI chatbot: Add a support chatbot for instant user assistance, training help, and real-time guidance on using CAPA.
